Each organisation who became AFRINIC Resource Member before September 19 2023 and is in good standing is entitled to designate one (1) official voter for the election. This Designated Voter(DV) will represent the organisation for online voting.

As an eligible voter, you will follow a rigorous process to submit your nomination—one that includes detailed submission steps as well as verification and validation procedures to confirm your participation:

• Coordinate: You will coordinate with a C-level executive (CEO or CTO) in your organisation who will select the Designated Voter(DV) for your company. Read more on the key responsibilities at this stage.

• Authorisation: Your CEO/CTO will sign a Delegation of Voter Authority(DVA) document that specifically authorises ONE person to vote on behalf of your organisation. Read more on the specifications that are valid in the authorisation process.

• Registration: The Designated Voter (DV) will then register themselves online, at which point they’ll submit the signed Delegation of Voter Authority using the form at: https://registration.afrinic.net.

• Confirmation: Confirmation emails will be sent back to all contacts for transparency.

• Verification: To uphold the integrity of the election, each designated voter will undergo identity verification, including ID checks and authenticity validation conducted by a trusted third-party service provider.

• Verification: To uphold the integrity of the election, each voter designation will undergo thorough verification to confirm all data and documents submitted. This verification is conducted by the Election Committee and AFRINIC staff.

• Facial Identification: This feature will help to authenticate the designated voter using his Government issued ID against his facial biometric data, and will be conducted by a trusted third-party service provider.

• Download, customise and Sign the official Delegation of Voter Authority document.

The Designated Voter:

Complete the online registration form

• Submit the required documentation (signed Delegation of Voter Authorisation, bio data page of government identification)
• Vote in the election (August 25-29)

• A duly signed Delegation of Voter Authorisation letter on company letterhead

• Scanned copies of government-issued ID for the Designated Voter

1. Registered Contacts: These are the employees of your organisation that AFRINIC already has on record (myAFRINIC). These are billing, admin, and technical contacts. You are receiving this email because you’re a registered contact. You and your other colleagues will also confirm that any nomination on behalf of your organisation is legitimate or not.

2. Nominating Executive: This is either the CEO, CTO or COO who has the authority to designate someone to vote on behalf of your organisation.

3. Designated Voter: This is an individual from your organisation that the Nominating Executive has authorised to vote on behalf of your organisation. This could be one of you who is a registered contact. This is the person who will fill out the Designated Voter Nomination Form. If this person isn’t a registered contact, we don’t trust them until the registered contacts that we do trust vouch for them in writing.

• All email addresses must be from the company domain.
• Free emails like Gmail, Yahoo, Hotmail, etc, are not allowed.
• All names must match the names on government-issued IDs
• The letter must be printed on the official company letterhead.
• The letter must be signed and stamped by the CEO, CTO or COO.
